Work with doctors/office manager to develop and/or understand the practice’s new patient consultation and examination.
Prepare for new patient appointments by completing the routing slip, collecting dental benefit information (if applicable), sending a welcome letter/brochure, confirming the new patient appointments, etc.
Introduce new patients to the practice by going over health history, explaining the doctor’s examination and describing any other features about the practice that should be highlighted.
Conduct treatment consultations with all new patients and with existing patients when new treatment plans are presented.
Understand the practice’s policy on working with dental benefit plans and be prepared to educate patients on their dental benefits. Coordinate this effort with the financial coordinator (if the financial presentation is managed by another staff member).
Monitor and track all referral sources of new patients and send the appropriate “thank you”.
Monitor and track all unaccepted treatment plans and follow up with patients in a timely manner.
Train all staff members on the new patient consultation if they are involved in the appointment or interact with new patients.
Coordinate and communicate daily with the scheduling coordinator and financial coordinator to determine new patients on the schedule or existing patients with outstanding treatment plans who are in need of a treatment consultation.
Perform other tasks as assigned by the office manager and doctor(s).
Effectively communicating treatment plans, and any changes in treatment plans
Answering questions related to treatment plans to get approval on services
Coordinating insurance benefits and making financial arrangements, including verifying insurance options and limitations
Booking appointments, answering general questions, and offering other associated support
