JOB DESCRIPTION

Accounts Receivable Processing:

  • receiving customer payments and remote depositing
  • provides invoicing backup when needed
  • collections reporting and working with customers to resolve discrepancies

Accounts Payable:

  • payment of all bills, including payments via domestic and international wire
  • monthly reporting

Banking:

  • daily check of electronic banking balances
  • electronic wire transfers
  • communications with bank personnel
  • monthly reporting and reconcile of bank and credit card accounts

Tax:

  • supports outside CPA and payroll firms
  • maintain tax and accounting reports calendar

Financial Reporting:

  • monthly reporting and analysis of financials
  • basic budgeting

Materials and Supplies Ordering:

  • ordering of routine office supplies
  • vendor price comparison
  • correspondence with vendors regarding order status, as needed
  • confirmation of receipt of goods/services

Office Management:

  • management of calendars and deadline compliance for internal projects of multiple departments – involves working with department managers and convening status update meetings as appropriate – requires knowledge of project management software
  • shared phone reception responsibility
  • bi-weekly collection of payroll data for submission to outside payroll service
  • periodic employee benefits (insurance) administration
  • general support of executive management
  • monthly calculation of sales commissions to support sales
  • greeter / receptionist duties
  • oversight of routine maintenance and janitorial service providers

 

REQUIREMENTS

  • proven high skill level using Microsoft Excel and Microsoft Word
  • demonstrated basic understanding of accounting principles and tax matters
  • proficient in using Quickbooks Enterprise and knowledgeable of EDI
  • clear evidence of professional communication skills
    • grammatically correct speaking
    • grammatically correct writing
    • professional personal presentation
  • post high school education in business, accounting, information technology, etc.
  • strong math/analytic skills
  • attention to detail and good organization skills
  • dependable attendance and punctuality required
  • reliable automobile available for running local errands, as needed
  • must pass criminal and bankruptcy background check
