Current vacancy in the Health and Human Services Agency. This will be used to establish an employment list to fill current and future vacancies Countywide. The anticipated life of the list is six months. This is a Spanish bilingual designated position, which is entitled to an additional $.50 (cents) per hour. A Spanish proficiency exam will be required. Applicants must be fluent in the ability to read, write and speak in the Spanish language as well as in English.
Perform a wide variety of general clerical duties related to assigned functional area and department; type, keyboard, proofread, and process a variety of documents including general correspondence, memos, and statistical charts from rough drafts, Dictaphone recordings, or verbal instructions; act as a receptionist, answer the telephone, and wait on the general public, giving information on department policies and procedures; perform a variety of clerical work including filing, billing, checking, and recording information; perform a variety of supportive office functions including receiving, sorting, and distributing incoming and outgoing correspondence; issue, receive, and process various applications, permits and other forms; order, store, and distribute office supplies; plan work according to production schedules and suggest changes in procedures to correct operational problems; perform routine office equipment checks to determine cause of problems and report needed repairs; may operate a variety of office automation and peripheral equipment; may prepare and process payroll records; may undertake and complete a variety of office assistance projects requiring independent judgment, initiative, and the maintenance of confidentiality; may provide lead supervision to lower level clerical assistants; may assist in hiring and training new employees.
Employment StandardsEducation:
Completion of the twelfth grade, supplemented by specialized business, secretarial, and/or word processing courses
Experience:
One (1) year of general clerical experience performing duties similar to those of an Office Assistant II, preferably with six months experience in word processing operations. Self-certified typing speed of 50 corrected wpm.
Knowledge of:
English usage, spelling, grammar and punctuation; basic math including fractions, decimals, and percentages; alphabetical, numerical, and non-numerical filing systems and procedures; report, form design, and production methods.
Skill/Ability to:
Operate office automation and related equipment; format documents; learn the organization, procedures and operating functions of the County department to which assigned; verify and check files and data; understand and carry out verbal and written instructions; establish and maintain effective working relationships with County staff and the public; organize work and set priorities; perform work with accuracy and attention to detail; work independently; prepare a variety of charts, graphs, and other special documents; analyze and correct operational, procedural, and programmatic problems encountered in the course of work. In addition, the Office Assistant III level requires the skill to perform difficult operations and preparation of more complex reports; and provide lead supervision to lower level personnel and assist in training new employees.
Conditions of Employment
Candidates selected will be required to pass a pre-employment drug and alcohol screening. Additionally, a background investigation may also be conducted, which may include a re-investigation every 10 years for some positions. An Employment Eligibility Verification using E-Verify may be required on the first day of employment for some positions. Some job classes may also require a physical exam.
College Cost Reduction Access Act
This may be a qualifying position for student loan forgiveness through the College Cost Reduction and Access Act (CCRAA). Only student loan payments made after October 1, 2007 and in a qualified repayment plan are eligible.
