This is a full time, 2 year, grant funded position with continuation contingent upon additional grant funds being secured.
Primary Purpose of this Position
UVA Wise seeks a success-minded, eager to learn, self-starter to provide administrative support for members of the Community & Business Development Team, including the Oxbow Center Manager, Innovation & Ecosystem Manager, and the Community Development Manager.
This position coordinates scheduling and administrative support functions to ensure efficient and effective operations which includes preparation of materials and planning of logistics for meetings and programs, processing invoices, monthly budget reconciliations, grant administration, creating and editing presentations as well as promotional materials and correspondence.
In addition, this position will assist with administrative tasks at the Oxbow Center, a dual purpose economic and environmental education center which features overnight lodging for groups visiting to perform research/provide service to the area. Duties will include processing new co-working membership applications, assistance with building control and access, taking reservations for event/conference space and overnight lodging reservations, and completing event/conference set ups. In addition, this person will assist with management of a local entrepreneur data base, including updating contact information and helping connect and build relationships within our entrepreneurial ecosystem. This position will be expected to assist and support unit wide events and initiatives, as well as other duties as assigned.
Some night, evening and weekend work may be required.
Requires considerable experience working in an office environment involving proficient use of MS Office Word, Excel, PowerPoint and Outlook. Must have considerable knowledge of administrative, office, and budgetary procedures; the ability to communicate effectively, both verbally and in writing; and possess excellent interpersonal skills. Ability to interpret/analyze data and prepare reports; maintain confidentiality of proprietary information; coordinate logistical services; prioritize work; and make sound recommendations and decisions. Ability to provide a high level of customer service and manage multiple tasks.
Preferred Knowledge, Skills and Abilities
Experience in grants management and administration.
Prior budgetary work.
Degree or Equivalent Experience
Associates degree in Administrative Support Technologies, related field or equivalent work experience requiring relevant job skills.
