Program Support Specialist/Administrative Assistant

Overview: This role serves as the initial point of contact for inquiries about the WISEWORKS Program and programs and services offered by the Office of Career Discovery and Planning.
Duties of position:
- Answer phones, greet visitors, and assist in scheduling appointments for the WISEWORKS Program and the Office of Career Discovery and Planning
- Manage employer and student intake documentation; organize records and files using Excel, Handshake, and other technology
- Maintain a database of students and employers participating in the WISEWORKS Program
- Assist in data collection and assessment processes, including oversight reporting and grant reporting requirements
- Demonstrate an understanding of the college’s programs and services by making appropriate referrals and helping callers/visitors locate assistance
- Assist with student and employer outreach, which may include public speaking at orientation and other events.
- Events: reserve facilities and equipment, order food, invoice participants, etc.
- Create social media posts for WiseWorks and Career Discovery programs
- Post jobs and internships using the Handshake platform
- Engage with team members within Economic Development and Strategic Initiatives
- Engage with colleagues across campus, including the Experiential Learning Hub
- Place orders for purchases; process invoices
- Maintain accurate budgets and reconcile each month for existing and future funding
- Process mail and email daily
- Maintain a calendar of dates and deadlines for programs
- Record meeting notes, in person and virtual
- Maintain security and confidentiality according to FERPA (Family Educational Rights and Privacy Act) and NACE (National Association of Colleges and Employers) Professional Standards
Qualifications:
- Proficiency with Microsoft and Apple software and applications
- Proficiency with social media (Twitter, Instagram, LinkedIn)
- Skilled in bookkeeping and procurement
- Adept in organizing and maintaining databases
- Willingness to cross-train with Experiential Learning Hub members
- Skilled in handling multiple projects and adhering to deadlines
- Must be professional, customer-service oriented, and willing to learn
This position prefers an Associate’s Degree in Business Administration, Management, Administrative Support, or related. One year of professional experience is desired.
