Associate Director of Undergraduate Admissions
The University of Virginia's College at Wise invites applications for an Associate Director of Undergraduate Admissions -- Operations & CRM. UVA Wise is a four-year liberal arts college located in the mountains of southwestern Virginia. This position will support the Undergraduate Director of Admissions in maintaining, updating, and optimizing the undergraduate admissions instance of our customer relationship management (CRM) solution (Jenzabar/Salesforce). Additionally, the position will be responsible for supervising the implementation of Salesforce/TargetX (CRM), monitoring the daily operations of the CRM, as well as overseeing the use of this instance of Jenzabar/Salesforce by other departments and constituents across the College. Duties include, but are not limited to:
Operations Maintenance, Development, and Enhancement
- Assist in managing the ongoing implementation, configuration, testing, and maintenance of the CRM in order to provide comprehensive, long-term solutions.
- Assist in increasing efficiencies of application processing and daily operations, including implementing new functionality, database testing, new technology initiatives, etc.
- Work with team members of the Undergraduate Admissions, Financial Aid, and IT staff to manage various processes, including file review, scholarship review, recruitment travel, event management, decision management, work flows, drip marketing campaigns, transfer student population, international students, athletic recruits, non-degree students, etc.
- Assist with annual recruitment cycle preparation and management, which is the process in which the CRM is prepared for the next admission cycle. Primarily auditing and updating all systems including our institutional and Common Application to ensure processes are effective, efficient, and operational for recruitment.
- Create, edit, and audit new and existing forms, queries, and reports.
Data Management, Importing, and Reporting
- Manage data and records in all CRM modules as it relates to prospective students, applications, organizations, organization contacts, community-based organizations, alumni volunteers, student ambassadors, etc.
- Create, test, and maintain data imports and exports using the Common Application, ACT, College Board, and other lead providers.
- Work with the Director of Admissions and IT staff to monitor, integrate, and automate our CRM to include data transfers, admissions processing, financial aid processing and institutional enrollment related reporting.
- Maintain data integrity by developing and performing regular comprehensive data audits and clean-up projects, in collaboration with IT staff.
Training and Ongoing Support for Internal and External College Constituents
- Serve as the CRM resource for users college-wide.
- Co-manage internal and external CRM user accounts and permissions.
- Coordinate regular CRM training sessions with internal and external constituents.
A bachelor's degree or equivalent experience is required, along with at least three year’s experience with CRM systems. At least three years of experience in student services functions or a total of eight years of experience in lieu of degree. Candidates must be attentive to detail and accuracy; possess strong critical/analytical thinking skills in order to troubleshoot issues and solve problems; be process-driven with the willingness and ability to learn new systems; have a high level of initiative and the ability to work independently; and have excellent written and verbal communication skills. Editing/proofreading skills and experience with Informatica, TargetX, Work Flows, Form Assembly, SSIS Jobs, or SQL are desirable. This is primarily a sedentary job involving extensive use of desktop computers. The job does occasionally require traveling some distance to attend meetings, and programs.
